The CAB considers RFCs (Requests for change), and in light of the business need, makes recommendations as to whether they should be accepted and implemented, or rejected.

Recommendations are based on impact to existing services, cost of the Change and other relevant factors.

Membership of the group is chosen to ensure all Changes are assessed from both technical and business perspectives.

Guidelines

Submission of Request for Change

- Approval to Implement

A Request for Change - Approval to Implement form must be submitted to the local Change Coordination Group (or SCMG for ITS) as a notification of changes to services and systems or when introducing or decommissioning services and systems. If the change request is considered to be a major or significant risk the Request for Change - Approval to Implement request form will be forwarded to the Change Advisory Board (CAB) for consideration.

The SCMG within ITS & CAB assures you that all forms submitted by the close of business every Friday will be evaluated at the next meeting of the respective Group. The SCMG meets every Monday afternoon (or Tuesday, in the event of a public holiday) and the CAB meets every Thursday morning. Sufficient time should be allowed when submitting Change Requests.

The local Change Coordination Group will evaluate every minor and medium change being requested and the proposed date for the change. The Service/Project Manager will receive an advice from the group endorsing the change and the date for the change. If the local Change Coordination Group or the CAB requires additional information on the change or is concerned about the date or details of the change, the Service/Project Manager will be asked to provide clarification either by email or in person at a SCMG meeting.

The CAB will evaluate every major and significant change being requested and the proposed date for the change. The Service/Project Manager will be invited along to the next CAB meeting to discuss the request.

Service/Project Managers will receive a response from the Local Change Coordination Group or the CAB by the close of business on the day of the respective meeting.

- Approval to Build

For all proposed projects and major or significant service changes the service/project manager is required to submit either a project proposal or a Request for Change - Approval to Build to the Project Portfolio office (via project_portfolio@qut.edu.au) for endorsement and approval from the Technical Infrastructure Development Group (TIDG). CAB receives 'for information' copies.
